Role and Responsibilities

Under the direction of the Director of Operations the HR & Operations Administrative Assistant provides administrative support to BESTAgency with an emphasis on human resources.  The selected candidate should enjoy working within a small business environment that is mission-driven, results-driven, client-oriented and employee-oriented.  The ideal candidate will have the ability to exercise good judgement in a variety of situations, with strong written and verbal communication, administrative and organizational skills, and the ability to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.  The primary functions and additional responsibilities of this position include the following:

  • Completes a broad variety of administrative tasks for the HR department including: recruiting, interviewing and onboarding new employees; benefits administration; posting job openings, gathering information on new applicants, contacting references, and informing employees of their hiring status
  • Documenting grievances, separations, FMLA tracking, workers comp updates, etc; participates in employee and labor investigations in accordance with the Director of Operations
  • Scheduling interviews, meetings and appointments; audition and employee training  set up and planning
  • Ability to assist with developing and executing employee appreciation programs
  • Ability to provide customer service to company’s employees
  • Attends seminars to stay current on HR trends and legislative changes; participates in meetings/calls with labor attorney in accordance with the Director of Operations
  • Researches, prioritizes and follows up on incoming issues and concerns and determines the appropriate course of action, referral or response
  • Prioritizes conflicting needs; handles matter expeditiously, proactively and follows-through on projects to successful completion often with deadline pressures
  • Ability to work a flexible schedule
  • Must have valid driver’s license
  • Perform other duties as assigned

Qualifications and Education Requirements

Candidates should possess the following:

  • This position requires a high school diploma or GED equivalent
  • 3+ years in a HR role a plus
  • Minimum of 2 years in an administrative assistant position 
  • Knowledge of the Entertainment industry a plus
  • Experience using ADP a plus
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Knowledge of basic computer programs including MS Office, Google for Business  and the Internet
  • Very strong interpersonal skills and ability to build relationships with clients and staff
  • Advanced level written and communication skills
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Emotional maturity
  • Highly resourceful team-player with the ability to also be extremely effective independently
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment
  • Ability to maintain good working relationships with co-workers, management, employees, clients, vendors and talent.
  • Forward looking thinker who actively seeks opportunities and proposes solutions

Preferred Skills

Associates’ or Bachelors’ degree from an accredited college or university
