Executive Assistant to the CEO


ROLE AND RESPONSIBILITIES

Reporting directly to the CEO, the Executive Assistant provides executive support in a one-on-
one working relationship. The Executive Assistant serves as the primary point of contact for
internal and external constituencies on all matters related to the CEO. The Executive Assistant
must be creative and enjoy working within a small business environment that is mission-driven,
results-driven and client-oriented. The ideal candidate will have the ability to exercise good
judgement in a variety of situations, with strong written and verbal communication,
administrative and organizational skills, and the ability to work under pressure at times to handle
a wide variety of activities and confidential matters with discretion. The primary functions and
additional responsibilities of this position include the following:

• Completes a broad variety of administrative tasks for the CEO including managing an
extremely active calendar or appointments; arranging complex and detailed travel plans,
itineraries, and agendas; compiling documents for travel-related meetings
• Plans, coordinates, and ensures the CEO’s schedule is followed and respected. Provides
“gatekeeper” and “gateway” role, creating win-win situations for direct access to the CEO’s time
and office
• Communicates directly, and on behalf of the CEO
• Ability to develop, execute and complete graphic design projects a plus, which may include
company press releases, marketing materials, event programs and website content
• Must have proficient experience using mainstream social media applications
• Researches, prioritizes, and follows up on incoming issues and concerns and determines the
appropriate course of action, referral, or response
• Works closely with CEO to keep him well informed of upcoming commitments and
responsibilities, following up appropriately
• Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows-through on
projects to successful completion often with deadline pressures
• Ability to work a flexible schedule
• Must have valid driver’s license
• Perform other duties as assigned

QUALIFICATIONS AND EDUCATION REQUIREMENTS
Candidates should possess the following:

• This position requires a high school diploma or GED equivalent
• Knowledge of the Entertainment industry a plus
• Intermediate/Advanced experience using Adobe Illustrator, Photoshop and/or other graphic
design software a plus
• Strong organizational skills that reflect ability to perform and prioritize multiple tasks
seamlessly with excellent attention to detail
• Knowledge of basic computer programs including MS Office, Social Media platforms and the
Internet
• Must posses strong experience (2+ years) using Google products, Microsoft Office, Zoom and Adobe Acrobat. Knowledge of marketing automation
platforms, i.e. MailChimp a plus
• Very strong interpersonal skills and ability to build relationships with clients and staff
• Expert level written and communication skills
• Demonstrated proactive approaches to problem-solving with strong decision-making capability
• Emotional maturity
• Highly resourceful team-player with the ability to also be extremely effective independently
• Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced
environment
• Ability to maintain good working relationships with co-workers, management, employees,
clients, vendors, and talent.

PREFERRED SKILLS
Associates’ or Bachelors’ degree from an accredited college or university
